An Email Alert Setting (if it is enabled), is dependent on a List for its data, and hence a List Setting must exist with a Date field for the Alert to be triggered. For example, an Alert can be created to monitor the Due Date field on the Open Actions/by Number list (of the Actions module) to notify the Assigned User about an upcoming action (or an overdue action). When the Due Date of a record in the List meets the criteria set out in the Alert setting, then an email notification is triggered. Once the Action has been completed (and is no longer pending) it shall no longer be visible in the Open Actions list (as it only displays Actions that are open) and hence the Alert shall no longer send out any notifications for that particular Action. Hence, it is important to select (or create) the appropriate list so that Alert setting only evaluates records that requires escalation or reminder. 

Email Alerts are run at a the time that is set in the system properties on a daily basis.


A Dashboard Alert Setting (if it is enabled), displays a custom message on the Dashboard of a user as they login. For the Dashboard alert to be displayed the Users to be notified must be specified and once the user acknowledges the message it shall no longer be displayed. A record is kept of all acknowledgements in the system module as shown below:
